Will my document be accepted? 

Some institutions haven't updated policies to reflect the legal validity of remote online notarization due to policy lag, document formatting or jurisdictional/legal uncertainty and fraud concerns.

1. Government agencies in CA, LA, SC, and Washington DC 

  • Check acceptance beforehand (optional template to use below), or

  • Use a local in-person notary instead.

2. Foreign Consulates & Embassies

Many consular offices continue to require wet-ink notarization and will not accept electronically notarized documents. 

​

3. County Recorder Offices

Some county recorders, especially in jurisdictions without full e‑recording capability, (Vermont, Alabama, West Virginia) might insist on a traditional paper original with an ink stamp 

​

4. Banks and Financial Institutions

Numerous banks explicitly refuse RON documents—particularly for financial power-of-attorney, ID verification, or mortgage-related forms.​

  • Check acceptance beforehand (optional template to use below), or

  • Use a local in-person notary instead.

5. Licensing Boards & HR Departments

Certain professional licensing boards and corporate HR teams still require wet-ink notarization

6. Title Insurers & Lenders

Notary Service Nearby LLC is not currently accepting real estate documents for notarization.

7. Organizations Like the Civilian Marksmanship Program

​

Notary Service Nearby LLC shall not be held liable if a notarized document is rejected by a third party, institution, court, or government entity. The client is responsible for confirming document requirements prior to scheduling notarization. Please read our full terms and conditions.

Remote Online Notary Acceptance Questions

Concerned that the receiving organization won't accept your document if it's notarized online? Feel free to cut and paste these questions into an email to the intended recipient to find out for sure:

  • Do you accept documents notarized via Remote Online Notarization (RON)?
     

  • Will you accept an electronic notarial certificate that includes a digital notary seal and signature?
     

  • Do you require a physical ink signature or raised/embossed notary seal?
     

  • Will you accept documents delivered via email or must the document be printed and mailed?
